Managing Notifications

The Axosoft system provides the ability to automatically notify users of updates to items within a project. Notifications are sent via email when items are created, changed, or deleted. In addition, email notification settings can be customized globally, for each project, or for each item.

Notifications can be sent to Axosoft users, the clients of Axosoft users who are set up to use Portal, or any other email address desired.

To manage the notifications in your system, go to Tools Notifications Manage.


Editing notifications

To edit a notification in the Manage Notifications screen, select the notification and click the Edit button in the toolbar.


Types of notifications

Notifications can be fired when items are created, updated, deleted, or matched to a filter.


Item types and notifications

There are a variety of item types present in Axosoft. On the second row of options, we can select which item type will trigger the notification. These include defects, user stories, incidents, and wiki pages.


What does the notification apply to?

Any notification can be created, however not all notifications are necessarily needed for all items of the specified item type. For instance, a stakeholder may want to be notified as soon as a critical user story is updated, but not all user stories. The third row in the notification screen allows for exactly that, and you can select whether the notification applies only to one project, to all projects, or only an individual item.


Triggering notifications

Under When will this notification run? you can select When any field values are updated, or When specific field values are updated. This allows you to be very specific as to what changes would trigger the notification. For example if you just want to be notified when an item is set to “High Priority”, select the Priority field, and next to Set to select “High”.

You can add any additional conditions so that the notification is sent if any of the conditions are met, or if all of the conditions would need to be satisfied.


Notification recipients

The final field on the notification screen, Add Recipients, configures who will receive the notifications. This can include the person assigned to the item, the original requester, or specific email addresses of users and customers.


Notification Post URL

For notifications, there is also an option to post a JSON object with the item data to an external URL. This can be used to integrate with other systems or applications. Just enter the URL where the JSON will be posted and any events that would trigger a notification will instead just send the item data.

This can also be used to post notifications to Slack, HipChat, or Yammer using SocialConnect.
